Background

GRMA (Global Retailer and Manufacturer Alliance) is a non-for-profit member driven organization that manages an independent certification program within the health and wellness industry, with members spread across five continents. As a global player supporting retailers, manufacturers, and certification bodies (CBs), GRMA needed a secure and efficient system to manage its complex audit and certification processes.

Challenges

Before implementing the Intact Platform, GRMA was managing audit workflows and certification data primarily through spreadsheets and separate systems. While this approach supported their early operations, it became clear that a more integrated and scalable solution was needed to support their global expansion and long-term goals.

GRMA saw an opportunity to enhance transparency, efficiency, and data accessibility across its ecosystem. For example, audit reports and certificates were managed in different systems.  This made it difficult to manage, audit report and certificate templates, approved auditors & reviewers, extract program performance insights, provide certificate directory information, and structured program expectations to certification bodies (CBs). Both members and nonmembers found it very difficult to confidentially confirm the authenticity of certificates.

There was also a desire to improve auditor flexibility in the field, particularly through mobile capabilities that could function in low-connectivity environments. At the same time, GRMA was preparing to launch a new standard and needed a platform that could scale with their user base and workflows—without requiring extensive custom development or integrations.   

The Solution

GRMA chose the Intact Platform for its comprehensive audit and certification oversight capabilities. The solution was executed within the project timeline, was a significant upgrade, and met the MVP requirements across key processes including audit management, checklist control, findings, certification issuance, and centralized document handling. The GRMA has full control over assigning qualified auditors, reviewers, and certifiers—whether they operate individually or as part of an audit team. Additionally, for ease of mind the platform includes standard infrastructure services such as backups, disaster recovery, and uptime monitoring. Allowing GRMA to focus on their audit and certification operations rather than infrastructure management and security.

The responsive design of Intact Mobile enabled auditors to carry out audits on various devices in offline environments, syncing data when internet access becomes available. This brought immediate improvements in flexibility and audit execution in the field or enabled auditors to work on audit reports while they were traveling.

GRMA’s Quality & Compliance Committee now benefits from real-time access to audit and certification data, enabling them to monitor trends, track KPIs, and support data-driven decision-making. Certified members can access their electronic reports and certificates directly through a secure portal. Planned improvements will further extend access to retailers, giving them visibility into supplier data with the appropriate consent.

Result

Since implementing the Intact Platform, GRMA has seen a 200+% reduction in audit processing time and significantly increased throughput. Audit workflows are now faster, more transparent, and more secure. Internal teams have better access to real-time data, and certified members can easily retrieve their documents online.

Auditor and CB performance can now be tracked, data is centralized, and reports are easily generated without relying on third-party tools or manual work. The flexibility of the mobile app has made audits more efficient and accessible, regardless of location.

GRMA also values the partnership with the Intact Customer Service Team, which has been responsive with tickets and questions, proactive in resolving issues, solution oriented in addressing new challenges, providing system management practice education, and exploring improvement opportunities.

Future Outlook

GRMA continues to build on its use of the Intact Platform to support efficient, secure audit and certification oversight. The scalable setup provides the flexibility to adapt to future needs while maintaining a strong foundation for transparency, performance monitoring, and service delivery.
